Privacy Policy

You share goals, struggles, and personal context with us. That deserves a plain explanation — not a wall of legalese. Here is exactly what we collect, why, who touches it, and how to make us delete it.

This policy explains how Craige Hardel Coaching handles personal information. It is written in the order you would actually ask the questions: what do you have, why do you have it, who else sees it, how long does it stay, and how do I get it back or get rid of it.

Who this policy covers

This policy applies to personal information handled by Craige Hardel Coaching across everything we run:

  1. This website and any page hosted on it, including contact forms and booking flows.
  2. Private coaching and accountability coaching, including discovery calls, session notes, and scheduling.
  3. The High Achiever Society, including the free community, paid membership tiers, live calls, and member profiles.
  4. The High Achiever's Podcast, including listener emails, guest correspondence, and any recordings.
  5. Courses, workshops, newsletters, and free resources such as planners, assessments, and downloads.

Where we are, and why that matters

Craige Hardel Coaching operates as a small independent business. Where a third-party platform runs part of the experience — a payment processor, a community host, an email service — that platform also has its own privacy policy, and its own rules about where data is stored. We list the categories in section 05.

What we collect

We keep this deliberately narrow. If a piece of information is not needed to deliver coaching, run a membership, or answer your question, we do not ask for it.

Categories of personal information we handle
Category What that includes Where it comes from
Identity & contact Name, email address, and any phone number or time zone you provide when booking. You provide it
Booking & scheduling Appointment dates and times, session type, cancellation and reschedule history. You provide it
Coaching context Goals, notes, and personal context you choose to share in calls, check-ins, or written messages. You provide it
Membership & account Community profile, tier, join date, participation such as posts and replies, and course progress. Generated by use
Payment records Transaction amounts, dates, and subscription status. Card numbers are handled by the processor, not stored by us. Processor
Technical & usage Pages viewed, approximate region, device and browser type, and referring link. Automatic
Communications Emails, form submissions, podcast listener messages, and guest correspondence. You provide it

What we deliberately do not collect

We do not ask for government ID numbers, financial account details, medical records, or health data. Coaching conversations may touch on personal circumstances, but you decide how much detail to share — and anything you would rather not put in writing does not have to be put in writing.

Why we collect it

Every category above maps to a specific purpose. If a purpose stops being relevant, the data behind it goes too.

  1. To deliver coaching and sessions. We need your contact details, your booking, and your context to show up prepared rather than starting from zero every call.
  2. To run your membership or account. Community access, tier benefits, course progress, and live call invitations all depend on an account record.
  3. To take payment and manage subscriptions. Transaction records support billing, receipts, refunds, and the cancellation terms published on this site.
  4. To send what you asked to receive. Newsletters, podcast updates, and resource downloads are sent because you requested them — and every one includes an unsubscribe link.
  5. To answer your messages. Replies, support questions, and policy queries are handled using the communication history attached to them.
  6. To improve the content and the experience. Aggregate usage patterns tell us which articles, episodes, and resources actually help — and which ones do not.
  7. To keep things secure and honest. Technical logs help detect abuse, spam, and fraud, and support accurate cancellation and no-show records.
  8. To meet legal obligations. Where tax, accounting, or consumer law requires records to be kept, they are kept for that reason and no other.

Our basis for holding your information

In plain terms: we hold your information to perform the service you asked for, with your consent for optional things like newsletters, to meet legal obligations such as tax records, and on the basis of legitimate interest in keeping the site secure and improving what we publish. Where consent is the basis, you can withdraw it at any time and the processing stops.

Cookies, analytics and embedded media

This site uses a small number of cookies and similar technologies. None of them are for advertising, and none of them build a profile of you across other websites.

  1. Strictly necessary cookies. These keep the site working — remembering a form state, keeping a session secure, or remembering your cookie choice. They cannot be switched off without breaking things.
  2. Analytics. We use privacy-respecting measurement to understand which pages are read and which are not. This is aggregate, not an individual dossier, and it is not used to target advertising.
  3. Embedded media. Podcast players, video embeds, and scheduling widgets may be served by third parties. Those providers may set their own cookies when you interact with them, governed by their policies rather than ours.
  4. No advertising trackers. We do not run retargeting pixels, and we do not sell audience segments to anyone.
  5. You are in control of your browser. Every major browser lets you block or delete cookies. Blocking the strictly necessary ones may affect how parts of the site behave, but nothing else on this policy changes as a result.

Who we share it with

Your information is not a product. We share it only with the service providers required to run the business, and only as much as each one needs to do its job.

Categories of service providers who may process data on our behalf
Provider type What they handle Why it is necessary
Email & newsletter platform Name, email, subscription status, engagement Delivering newsletters, resources and member updates
Scheduling & video calls Name, email, booking times, call links Running coaching calls, check-ins and discovery sessions
Payments & subscriptions Transaction and billing records Processing payments, receipts, refunds and renewals
Community & course host Profile, posts, replies, progress Operating the High Achiever Society and course library
Website hosting & analytics Technical logs, approximate region, page views Keeping the site online, fast and secure
Podcast & media distribution Episode hosting and listener analytics Publishing and distributing the High Achiever's Podcast

The exceptions, stated honestly

We will disclose information if legally required to — a valid court order, a lawful regulatory request, or where it is necessary to protect someone's safety. If we are ever able to tell you that a request has been made, we will. And if the business were ever sold or restructured, customer data could transfer as part of that, in which case this policy would continue to apply until you were told otherwise.

Payments and financial data

Money and personal data are handled by specialists, which is better for both of us.

  1. We never see or store your full card number. Payment details are entered directly into the payment provider's system and stay there.
  2. We do receive billing records — the amount, the date, the plan, the last four digits, and the status of a subscription. That is what lets us issue refunds and honour the terms published on this site.
  3. Recurring subscriptions such as Podcast Premium, Accountability Pro, and the Inner Circle are managed by the payment provider. Cancelling stops future charges; access continues to the end of the paid period.
  4. Tax and accounting records are retained for the period the law requires, even after an account is closed, because that obligation sits with the business rather than with the individual.

How long we keep it

Data that has no purpose left to serve is deleted. These are the working retention periods, not indefinite placeholders.

Retention periods by data type
Data type Kept for Then what
Newsletter subscription Until you unsubscribe Removed on request
Enquiry that never became a booking Up to 12 months Deleted
Coaching notes & session context Duration of the coaching relationship, plus 12 months Deleted
Membership & community account While active, plus 12 months after closure Deleted
Payment & tax records As required by accounting law Retained by law
Technical & analytics logs Typically up to 14 months Aggregated or deleted

Deletion means deletion

When something is deleted, it is removed from active systems and from the backups that are routinely overwritten. Where a legal retention obligation applies — typically payment and tax records — that specific record is kept, isolated, and used for nothing else.

Your rights

You do not need to cite a regulation to use these. Ask in plain language and it will be handled.

Access

Ask what we hold about you and receive a copy of it.

Correction

If something is wrong or out of date, tell us and it gets fixed.

Deletion

Ask us to remove your information and we will, subject only to legal retention duties.

Portability

Receive your data in a common, readable format so it can move elsewhere.

Object or restrict

Stop certain processing, including marketing, without losing your account.

Withdraw consent

Unsubscribe or opt out at any time. Withdrawal is immediate and never penalised.

How to make a request

Reply to any email from us, or use the contact form on the main site, and say what you would like. We aim to respond within one business day and to complete access or deletion requests within 30 days. There is no charge. We may ask one question to confirm it is genuinely you, because that protects you rather than us.

Security and where data is stored

  1. Encryption in transit. This site and our booking and payment flows use HTTPS, so information is encrypted as it travels.
  2. Access is limited. Only Craige and the small number of people who need to run the business can access personal information. It is not browsable by anyone else.
  3. Passwords and accounts. Where an account exists, use a strong unique password. We cannot protect an account whose credentials have been shared or reused.
  4. Third-party providers are chosen carefully and are expected to apply their own security standards. Their infrastructure and storage locations are governed by their policies.
  5. International transfers. Some providers store data outside your country. Where that happens, transfers rely on the safeguards those providers have in place, such as standard contractual clauses.
  6. No system is perfect. If a breach ever affected your information, you would be told directly and promptly, along with what happened and what to do about it.

Email, podcast and community

  1. Newsletters and updates are sent because you subscribed. Every message includes a one-click unsubscribe, and unsubscribing does not affect a coaching arrangement or membership.
  2. Service messages — booking confirmations, session reminders, receipts, and policy notices — are part of delivering the service and are sent regardless of marketing preferences.
  3. Community participation is public to other members. Posts, replies, and profile details inside the High Achiever Society are visible to the community. Do not post anything there you would not want other members to read.
  4. Podcast guests and recordings. Interviews are recorded and published. Anything specific to a recording — consent, editing, publication timing — is agreed in writing beforehand.
  5. Testimonials and case studies are published only with permission, and you can withdraw that permission later. Where requested, we will remove or anonymise the attribution.

Children and younger members

This service is built for adults pursuing goals, careers, and businesses. It is not directed at children.

  1. We do not knowingly collect information from children. Memberships and coaching are intended for people aged 18 and over.
  2. If a younger person's details have been submitted, tell us and the record will be removed promptly.
  3. Where a parent or guardian contacts us on someone's behalf, we will ask for confirmation before acting on the request.

Changes and contact

  1. This policy may be updated as the coaching, Society, and podcast offers evolve. The version published on this page is the one currently in force.
  2. Material changes will be flagged. If something meaningfully changes how your information is used, you will be told directly rather than left to notice a new date at the top.
  3. Questions about privacy: use the contact form on the main site, or reply to any email you have received from us.
  4. Unresolved concerns: if you are not satisfied with how a request was handled, say so. If it still is not resolved, you are entitled to raise it with your local data protection authority.
Our Commitment

Two things we will do, two we never will.

Privacy policies are usually a list of permissions. Here is the version with the boundaries made explicit.

We will

Explain anything you ask about

If a clause here is unclear, ask and you will get a straight answer in plain language — not a pointer back to the same paragraph.

We will

Delete on request, without friction

No retention call, no guilt, no form with eleven fields. One message and the deletion process starts.

We never

Sell or rent your information

Your contact details, goals, and session context are not inventory. They are not traded, sold, or swapped for reach.

We never

Hide a change in the fine print

When something meaningfully changes, you will hear about it directly instead of discovering it months later.

Quick Answers

The questions people actually ask.

Short, specific answers to the things members and clients ask most often about their data.

Do you read the notes I share in coaching?

Yes — that is the point of them. Notes exist so each session starts from where the last one ended rather than from zero. They are kept private, used only in your coaching, and are never shared with other members or used as marketing material without your explicit permission.

Is my information shared with other Society members?

Only what you post yourself. Your name, profile, posts, and replies inside the community are visible to other members — that is what makes a community work. Your coaching notes, billing details, and private messages are not visible to them.

Will you ever email me without permission?

Only about something you have with us: a booking confirmation, a reminder, a receipt, or a policy notice. Marketing email is sent because you subscribed, and every message has a one-click unsubscribe that works immediately.

How do I delete my account and data?

Reply to any email from us or use the contact form and ask for deletion. We confirm within one business day and complete it within 30 days. The only records that stay are payment and tax records, because accounting law requires them — and those are isolated and used for nothing else.

Do you use my data to train AI models?

No. Your coaching notes, session context, and messages are not fed into model training. Where AI tools are used for drafting or admin, they are used on general material — not on your personal information.

I'm outside the country you operate from. Am I covered?

Yes. The rights in section 08 are offered to everyone regardless of where you live, and some jurisdictions give you additional statutory rights on top. If your local law grants you something more, ask and we will work to it.

Question About Your Data?

Ask directly. Get an answer.

If something here is unclear, or you want to access, correct, export, or delete your information, just say so. If you would rather see how we work first, the coaching options are one click away — and the cancellation terms are published in full.
